Say NO To GMAIL & DRUGS

 

When we were growing up we were told to "Say NO to Drugs" Many of us listened and stayed away. Many more of us were either young & nieve or  pressured into experimenting. I’m here to tell you to

"Say NO to GMAIL".

Yes, yes, I understand that all the cool hipster kids are doing it but if you take the higher road you will be on that fast track (of productivity) you hear so much about. On that fast track you’ll be driving a desktop e-mail client which looks a lot like one of those classy professional cars.

Alright, enough with the analogies. when it comes down to it a web business trying to optimize their automation & become better organized there is presently only one way to go and that is the desktop e-mail route. Why? Power. Lets take a look at Microsoft Outlook, which is many people’s eyes the most powerful desktop e-mail client.

Here are JUST A FEW things you can do with Microsoft Outlook that you can NOT do with GMAIL:

  • Automatically save all attachments from e-mails and save them into a unique folder for that person/client.
  • Make your computer perform tasks such as retrieving files, opening programs, shutting down/restarting your computer and most any other remote computing tasks.
  • Your business & personal e-mails are stored on YOUR computer and unless you have google desktop (or some other indexing service) then your file data is not being stored on other people’s computers.
  • Automatically color code e-mails to make it easy to visualize different types of e-mails.
  • Automatically color code categories and follow-up flags.
  • Template e-mails auto send based on text in subject/body of e-mail.
  • Set custom sounds for all the specific emails (kind of annoying unless done right but possible).
  • Archive all your cell phone calls (windows mobile for sure, perhaps phones with outlook capabilities as well) using Smart Journal for Outlook.
  • Delay e-mail sending time after you hit the send button in order to give yourself a buffer in case you forget something important to add/change in the e-mail.
  • Outlook’s rules and third party plugins make practically anything possible for automation and organizing e-mail. It’s not hard to setup rules either. Plugins come as third party software so that is as simple as instlaling other programs then you will see them integrated in outlook.
  • Some third party apps include:
    • Fedex Shipments
    • SMS Text Messaging
    • LinkedIn
    • Facebook
    • the list goes on and on…
